KEY ACCOUNTABILITIES (not all-inclusive, within delegated authority)

  • Under the direct supervision of the Head of Field Office and technical guidance of Supply Chain team at the Area Office, the incumbent will be responsible of the following duties: 
  • Coordinate requisitioning and ensure timely delivery of commodities and supplies to authorized partners and destinations.
  • Implement operational warehouse procedures and normative guidance to manage WFP’s warehouse, handle inventory effectively through corporate systems, and ensure loss mitigation.
  • Support in coordinating warehouse operations and ensure all aligned to standard business process including timely and accurate preparation of daily operations reports for invoicing warehouse activities.
  • Supervise warehouse vendors' activities and participate in performance reviews.
  • Participate in conducting vendor and market assessments and engage with entities to assess and identify potential logistics service providers.
  • Ensure accurate and timely monthly physical inventories, reconciliation and clearance of the same.
  • Coordinate documentation processing and disposal of non-fit for human commodities.
  • Provide support to retailers in the implementation of their activities for Cash Based Transfers (CBT).
  • Assist in the follow-up of any complaints from the beneficiaries' hotlines and provide feedback.
  • Assist in the monitoring of market prices, checking the availability of commodities, food quality, food expiry dates and general hygiene at retailer shops.
  • Assist in the capacity building and training of retailers in the use of Point-of-Sale machines.
  • Assist retailers in checking their transactions and the correct uploading of reports in the system and provide feedback.
  • Keep a clear inventory of all retailers Point of Sale machines in use including GEMS inventory.
  • Maintain filing systems and archives for easy retrieval of information.
  • Perform any other related duties as required.

QUALIFICATIONS, EXPERIENCE AND SKILLS REQUIRED

Education: Completion of secondary school education OR an advanced diploma in logistics, supply chain management or related functional area is required. A degree in the related functional area is an added advantage. 

Experience: At least five (5) or more years of relevant professional work experience with a Secondary School Certificate OR University Degree (Diploma/Bachelor’s) in logistics, supply chain management or related functional area is required with a minimum of two (2) or more years of relevant experience directly worked in Supply Chain. 

Language: Fluent knowledge (proficiency/level C) of English and Somali language.

Other Knowledge and Skills Required: 

  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Knowledge of driving rules and regulations, chauffeur protocol and courtesies, local roads/waterways and conditions, and security issues.
  • Knowledge of the vehicle loading capacity and other parameters.
  • Knowledge of safety standards and safety equipment (e.g. fire extinguishers, buoyant wearable safety devices, etc.).
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Basic skills to assist in case of emergency, knowledge of first aid basic methods.
  • Knowledge and ability to use radio, email, telephone and other applications.
  • Ability to assess vehicles for mechanical fitness and skills in minor vehicle repairs.
  • Ability to demonstrate a client-oriented approach, high sense of responsibility, courtesy and tact.
