Job Summary:

Responsible for the efficient management of transport/logistics, administration, property and travel related services in the CO.

Responsibilities:

  • CO Property and Asset Management (including warehouse managementEnsure that procedures are in place and in use to ensure appropriate management, documentation & protection of CARE assets, effective management of warehouses in compliance with donor rules and regulations; Lead annual physical inventory verification
  • CO Facilities and Administration management –Keep track of all CO leases and ensure obligations are met on time to minimize the risk on the CO operations; maintenance of all CARE rented/ owned facilities and follow utility obligations in a timely manner.
  • Fleet Management –Ensure effective systems are in place for vehicle scheduling, management, maintenance; ensuring metrics and reporting are submitted on time to management for decision making.
  • Customers Service Excellence-Establish and maintain effective relationship with customers for improved emergency response service delivery. Provide timely, proactive, rigorous, and logical methods to solve Admin and Logistics support related challenges faced by units across the Country Office.
  • Manage and lead process related to import and customs clearance of shipments either procured by CARE or obtained as in-kind donation.
  • Perform key logistics role related to CVA program design and implementation.
  • Support Program team in assessment and selection of distribution locations

Qualifications:

  • Bachelor’s Degree in Business Administration, Logistics, Finance, or related areas or equivalent in years of professional experience in progressively senior roles. A Master’s degree is desirable.
  • 5 years’ experience in managing the admin and logistics function particularly in a humanitarian setting.
  • Team player- proven experience of working as an integrated team player working with diverse teams in country
  • Quick decision-making capability, highly paced in terms of delivery, spotting gaps, being proactive and not waiting to be directed etc.
  • Working with minimal, no supervision and therefore recognizing in that ambiguity who to reach out to, ask for help and not keep going and getting stuck.
  • Willing to work in an emergency setting and in locations that have minimal, no infrastructure, be prepared to work long hours.
  • Working experience on PEOPLESOFT system managing the End-to-End processes relevant to their roles.
  • Excellent planning, negotiation, and communication skills – ability to adapt or change priorities according to the changing demands of the job.
  • Good understanding of various donor policies and procedures relevant to the operations.
  • Ability to quickly grasp applicable host country requirements.
  • Excellent facilitation skills to conduct trainings for different target groups.
